When the Unexpected Becomes Part of the Journey
“Something seems to be happening with the Shinkansen.
There might be a delay.”
A message arrived from my guests travelling through Japan.
From my desk in Australia, I checked the live train information. Sure enough, services were running an hour behind schedule.
My response was immediate.
“Take whichever Shinkansen is in front of you. You have reserved Green Car tickets, so head to the Green Car. I’ll check the situation and guide you from there.”
Japan’s railway operators provide remarkably detailed, real-time information about train movements, delays and stopping stations. With that information at my fingertips, I could follow my guests’ train, work out the best way to reach their destination, and guide them through the disruption as it unfolded.
I soon realised they would need to change trains in Shin-Osaka.
I sent them the details of the connection, including which platform to head for when they arrived.
“Got it!” came the reply.
A little later, another message arrived.
“We ran for it! Made it onto the next Shinkansen! You wouldn’t believe how crowded it was!”
I could almost hear the excitement in their voices.
What could easily have become a stressful and confusing experience had somehow turned into a little adventure.
And the best part?
Despite an hour-long disruption to the railway network, my guests arrived at their destination right on schedule.
No wasted afternoon. No missed plans. Just another story to tell about their time in Japan.
More Than an Itinerary
At Japan Holiday Concierge, my involvement doesn’t end when I hand over a beautifully considered itinerary.
I also provide personal on-call support while my guests are travelling through Japan.
There was a time when I considered offering this as an optional extra. After all, once every hotel, train journey and experience has been thoughtfully arranged, the planning work is technically complete.
But I’ve never quite seen it that way.
When I create a journey for someone, I feel a personal responsibility to see it through to the very end.
Japan is a wonderful country to explore, but even the most carefully planned journey can encounter the unexpected. Trains can be delayed. Plans may need to change. Language and unfamiliar systems can make a simple situation surprisingly complicated.
That’s when having someone who truly understands Japan — its language, its transport systems, its customs and the way things work — can make all the difference.
Someone who knows your itinerary, understands your preferences, and can step in when you need a little help.
Sometimes, that means solving a problem before it becomes one.
Sometimes, it means helping you find your way through an unexpected situation.
And sometimes, it simply means knowing that someone is there, looking out for you.
Because to me, a truly personalised journey isn’t just about where you go or what you experience. It’s also about how well you’re looked after along the way.
That’s the kind of care I believe travel should come with.
